Private Family in Chester Springs, PA Seeking a Personal Assistant
Position: Full-Time Personal Assistant
Schedule: Monday–Friday | Guaranteed 40 hours/week | Primarily Chester Springs or Family Office in Exton, PA, Not a Hybrid role
Salary: $45.00 /hour, Payroll- open to flexibility commensurate and depending on experience; potential year-end bonus, p aid time off after 6 months, will consider health insurance stipend if needed
Start Date: Asap, for the right fit
Relocation: No – local candidates ONLY within a reasonable commute 

About the Family
A Chester Springs, PA Principal is seeking a sophisticated, highly organized, and proactive Personal Assistant. This is a long-term opportunity supporting a busy family with personal, administrative, nonprofit, and business-related responsibilities. The candidate will work directly with the principal

The family spends approximately January through April in Wellington, FL and the remainder of the year in Chester Springs. They do have help in Florida, however, it would be nice if the candidate had flexibility at times, with advance notice, to coordinate or assist as needed with a weekend event or planned engagement.

  • Children: Adult children; occasional support may extend to family members in Philadelphia and Wayne
  • The Principals mom also resides on the property in a separate guest house
  • Home: Large private farm
  • Pets: Three dogs (Mastiff, small to medium Highland terrier (?) and a tiny Yorkie/maltese about 8" in length) and one Persian cat
  • Household Staff: Established household and property team, including approximately nine employees; family office located in Exton

Responsibilities

  • Manage bills, paperwork, files, correspondence, and thank-you notes
  • Draft letters and handle follow-up communications
  • Schedule appointments and manage personal calendars
  • Arrange travel, Airbnb stays, and other trip-related details
  • Run local errands, including bank, post office, and supply purchases
  • Assist with nonprofit and business-related projects, primarily within the equestrian community
  • Organize information, expenses, spreadsheets, and reports
  • Assist with event planning and special projects
  • Coordinate with the family office, property manager, and household staff as needed
  • Occasionally assist adult children with travel and personal administrative needs
  • Travel on occasion with the family for special projects or events

Ideal Candidate & Personality
The ideal candidate is polished, conscientious, discreet, and highly organized. They should be computer-savvy, proactive, and comfortable managing multiple priorities while working directly with the principal.

The principal values someone who is focused, professional, willing to take direction, receptive to redirection, and excellent at following through . The ability to listen carefully, ask questions, and complete tasks as requested is essential.

Requirements

  • Prior Personal Assistant, Executive Assistant, Family Assistant, or similar experience
  • Excellent organizational, administrative, and computer skills
  • Strong written and verbal communication
  • Ability to create spreadsheets, reports, and presentations
  • Highly detail-oriented with excellent follow-through
  • Professional and polished demeanor as a representation of the family 
  • Comfortable taking direction and accepting redirection
  • Valid driver's license and clean driving record
  • Excellent references
  • Authorized to work in the United States
  • Willingness to travel occasionally, including to Florida
  • Comfortable working around pets and a large household/property team
  • Background Checks, contingent upon an offer of hire
